14% of slots empty, in a region short of doctors

A multidisciplinary health centre brings together nine practitioners and around 1,400 consultations a month. Nearly 200 slots are not honoured — in an area where getting an appointment takes weeks.

The starting point

A no-show costs twice

The empty slot is a straight loss for the centre, and extra waiting for the next patient. Reception calls when it can, between two phone calls; on busy days, nobody calls. And when a patient cancels the day before, the news goes nowhere.

  • ≈ 200 slots lost per month
  • Reminders depend on how busy reception is
  • A late cancellation benefits nobody
  • The phone interrupts consultations

What gets deployed

Three mechanisms, not another piece of software

  1. 01

    The systematic reminder

SMS 48 hours ahead and again the day before, with the practitioner's name and a cancellation link. Systematic means: regardless of how busy reception is.

  2. 02

    Cancelling becomes easy

One link, one click, no call to make. It is counter-intuitive, but it is what brings no-shows down: most patients who fail to appear did not dare to phone.

  3. 03

    The waiting list takes over

The freed slot is offered automatically to patients waiting for the same reason. They reply by SMS; first to answer takes it.

  4. 04

    The switchboard filters

Calls are answered and qualified, simple booking requests handled without a receptionist, the rest transferred. Consultations stop being interrupted.

FAQ

Frequently asked questions

Does this involve health data?

The setup handles no medical data: appointment reason, contact details, slot. The patient record stays in the centre's clinical software, which remains the only system hosting health data.

Can we connect our existing calendar software?

Yes, through the API. Many centres keep their clinical calendar and use Metaventus only for reminders, the waiting list and the switchboard.

Can the patient reply to the SMS?

Yes. Replies come back into the conversation, and a cancellation reply frees the slot automatically.

How many missed appointments are recovered?

Of the 14% of slots lost, most come from forgetfulness and unreported conflicts. Reminders handle the forgetting; the one-click cancellation link handles the rest, freeing the slot early enough for another patient to take it.

Is it heavy to set up for nine practitioners?

Each practitioner keeps their own calendar and availability rules; configuration is done consultation type by consultation type. Expect half a day for the centre, not a project.
