A policy is lost the day nobody called before the renewal date

A brokerage manages 4,200 policies for businesses and individuals. Every policy has a renewal date, and every renewal date is a chance to keep it — or lose it. The renewal spreadsheet exists; it gets opened when someone thinks of it.

The starting point

The portfolio does not collapse, it leaks

Nine per cent a year is nearly four hundred policies. None leaves over an incident: they leave because nobody called six weeks before the renewal date, a competitor did, and the client had no reason to refuse.

  • Renewal dates tracked in an intermittently opened spreadsheet
  • No record of phone conversations in the file
  • Marketing consent not documented per channel
  • Documents emailed, signed by post, filed at random

What gets deployed

The renewal date becomes a trigger, not a diary note

  1. 01

The policy modelled as it is lived

Insurer, product, premium, start date, renewal date, notice period. It is a business object, not a note on a record: the renewal date can therefore trigger something.

  2. 02

    The renewal sequence runs itself

At D-75, a task for the account manager. At D-60, an email to the client. At D-45, a scheduled call. At D-30, an alert if nothing has moved. The notice period stops being a date discovered too late.

  3. 03

    The call leaves a trace

Every phone conversation attaches to the policy, with its summary. The colleague who picks up the file knows what was said, even six months later.

  4. 04

    Consent is documented

Per channel — email, SMS, phone — with its source and date. In a trade where marketing is regulated, being able to show where a consent came from is not a convenience.

FAQ

Frequently asked questions

Do you replace our policy management software?

No. It keeps administration, commissions and flows with the insurers. We take the relationship: renewal dates, follow-ups, conversations, documents. The two synchronise through the API.

How do you handle advice traceability obligations?

Exchanges, documents sent and consents are time-stamped and kept in the file. We provide the material; compliance of your duty of advice remains your responsibility and your specialist software's.

Are calls recorded?

Recording and transcription can be enabled, with caller notice and a configurable retention period. They can be limited to the summary, with no audio kept.

How do we stop missing a renewal?

The due date is a property of the contract, and the scenario triggers on it: notice, contact, proposal, follow-up. Across 4,200 contracts, the 9% of lapses came from dates nobody was looking at in time.

Can contracts be split by insurer and by line?

Yes, with custom objects: each contract carries its insurer, line, premium, due date and history. Segments and follow-ups are built on those properties.

Coming from somewhere else? The migration is gentle

Contacts, companies, opportunities, tasks, segments and email templates come across from Brevo, HubSpot or an export. Keep your old tool as long as you need: nothing forces a big-bang switch, and nothing is deleted on your side.
